Choosing an employee management tool for a growing business
The spreadsheet works until about fifteen people. The first tool you buy after that should still fit at a hundred and fifty. Here is what changes at each stage and what to look for now.
At 10–25 people: get the records right
The problem is not visibility, it is accuracy. Attendance lives in a register, leave in WhatsApp, and month-end payroll is a reconciliation exercise. You need one place for attendance, leave and holidays that payroll can trust. Cloud is almost always the right call at this size.
At 25–75 people: add the work side
Managers stop knowing what everyone is working on. Projects, tasks and a short daily work report start paying for themselves, and shifts appear if you run support or operations. This is also when clients start asking where your data lives.
At 75–150 people: plan, do not just record
The questions become forward-looking: can we take on another client, who is overloaded, what does a project actually cost us? Capacity, forecasting and cost of delivery need the records from the first two stages — which is why the tool you chose at 20 people matters now.
| Stage | Must have | Start looking at |
|---|---|---|
| 10–25 | Attendance, leave, holidays, employee records | Shifts, payroll export |
| 25–75 | Projects, tasks, daily reports, shifts | Desktop time tracking, productivity |
| 75–150 | Capacity, forecasting, cost of delivery | Custom roles, workforce intelligence |
Four questions that prevent a second migration
- Does it cover attendance, work and planning, or will we bolt on two more tools?
- How does price grow with headcount? Check whether you pay for every account or only active employees, and whether admins are billed.
- Will employees accept it? Transparent tools survive; covert ones get uninstalled.
- Can we get all our data out? Ask for a full export before you sign.
What it costs
Employee Desk cloud plans are priced per active user per month — plans from ₹59 per user/month + GST, billed monthly; admins are free. Need an on-premise deployment? Contact sales. Current plans are on the pricing page; the hidden costs are worked through in what time tracking costs in India.
Frequently asked questions
When should a small business switch from spreadsheets to software?
Usually between 15 and 25 employees, or as soon as payroll depends on reconciling attendance and leave from different places.
