How much does employee time tracking cost in India?
Per-user subscriptions, flat licences and the costs nobody puts on a pricing page — with actual numbers at four team sizes.
Pricing in this category is deliberately hard to compare. Some vendors publish per-user rates in dollars, some quote per company, some hide the number behind a form. Here is what it actually costs an Indian company, with the parts that never appear on a pricing page included.

Cloud figures assume annual billing at the 20% discount. Self-hosted adds ₹25,000 one-time in the first year, plus your own server.
The costs that are not on any pricing page
- Implementation time. Configuring shifts, leave types, accrual rules and importing the team. Half a day of an HR person’s time on cloud; more if the policy itself has never been written down.
- The policy conversation. Often the real cost. Deciding your late policy properly is a management decision that has been deferred for years, and the software makes it unavoidable.
- Training. Fifteen minutes per employee, once. Trivial in isolation, real at 250 people.
- The server, if self-hosting. ₹2,000 to ₹5,000 a month for a suitable VM, plus backup storage.
- Someone to run it, if self-hosting. Two to four hours a month. Not zero, and it does not go away.
- GST. 18% on top, recoverable as input credit for a registered business — which is exactly why an Indian invoice beats an overseas one at the same headline price.
- Foreign exchange, if buying in USD. The rate moves and the card issuer takes a markup. A dollar price is not a fixed price for an Indian buyer.
What you should expect to pay
Above those bands you are usually paying for something adjacent: payroll processing, workforce analytics, or an international vendor’s cost base. That may be worth it — but know which of the three you are buying.
How to compare without wasting a month
- Write down the question firstAttendance? Hours per client? Compliance? The answer eliminates most of the market immediately.
- Take the total, not the per-user numberMultiply by headcount and by twelve. A ₹40 difference per user is ₹1.2 lakh a year at 250 people.
- Add GST and forexFor an Indian buyer, an overseas USD invoice and a domestic GST invoice at the same headline number are not the same cost.
- Count the second productIf a tracker does not do attendance and leave, you are buying two things. Compare the pair.

What is a reasonable price per employee per month in India?
For attendance and leave alone, ₹50 to ₹100 per user per month is the normal band. With time tracking and screenshots, ₹100 to ₹250. Products priced well above that are usually charging for payroll, analytics or an international cost base.
Are there free options?
There are free tiers and open-source projects. They are genuinely viable for very small teams. The cost reappears as your own time: configuration, hosting, upgrades and the absence of anyone to call when payroll is tomorrow.
Should we pay annually?
If you are confident in the choice, yes — 20% is a meaningful discount. If you are not yet confident, pay monthly for a quarter first. A discount on the wrong product is not a saving.
